Privacy Policy

WA Chauffeur (“we”, “us”, “our”) operates the website www.wachauffeur.com, the WA Chauffeur mobile application, the hotel-partner portal and the driver application (together, the “Services”), and provides chauffeur and airport-transfer services in Western Australia (OBDS 1012448). This policy explains what personal information we collect, how we use and share it, and the choices and rights you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Services you agree to this policy.
1. Information we collect
1.1 Information you give us
- Contact details — your name, email address and phone number.
- Account details — if you create a rider or driver account, your login email and (for drivers) your vehicle class and registration. Passwords are managed by our authentication provider and are not visible to us. If you sign in with Google, we receive your name, email and profile basics from Google.
- Booking & enquiry details — pickup and drop-off locations (address and, where provided, coordinates), dates and times, vehicle preference, number of passengers, luggage, child-seat requests, flight numbers, and any notes or messages you provide.
- Messages — the content of in-app chat messages and support enquiries you send to our team or (for a live trip) to your driver.
- Ratings & feedback — any rating or comments you leave about a completed ride.
1.2 Information provided by hotel partners
If a partner hotel books a ride on your behalf, the hotel’s front-desk staff provide us with your name, room number, destination, party size and travel time so we can arrange your transfer. Partner hotels are responsible for obtaining your consent before sharing your details with us.
1.3 Location information
- Riders — if you choose “use my current location”, your device shares its approximate coordinates once, with your permission, to set your pickup point.
- Drivers — when a driver is online or on an active trip, the driver app shares the vehicle’s live GPS location so we can dispatch efficiently and so the rider can track the vehicle. Location sharing stops when the driver goes offline or the trip ends.
- Ride tracking — during an active trip, the assigned driver’s live location and basic details (name, vehicle) are shown to the rider, and to anyone the rider shares the trip-tracking link with. Access to a tracking link ends when the trip is completed or cancelled.
1.4 Information collected automatically
- Technical & usage data — IP address, device and browser type, operating system, pages/screens visited and interactions.
- Cookies & local storage — used to remember your theme preference, keep you signed in, and for analytics/advertising (see section 5).
- Push tokens — if you allow notifications, a device push token so we can send ride updates.
2. How we use your information
- Prepare quotes, respond to enquiries, and arrange, dispatch and manage your rides.
- Show live ride tracking and estimated arrival times, and connect riders and drivers for an active trip.
- Send you booking and trip updates by email, SMS and push notification (e.g. booking received, driver assigned, driver arriving, trip completed).
- Create and manage your account, and provide customer support and in-app messaging.
- Calculate hotel-partner preferred rates and commission where applicable.
- Operate, secure, troubleshoot and improve the Services.
- Measure and improve our advertising and understand how visitors use the site.
- Meet legal, tax, safety and dispute-resolution obligations.
3. Accounts & authentication
Accounts are managed using Google Firebase Authentication. If you make a booking and don’t already have an account, we may create one for you using the email you provided so you can track and manage your rides; where we do this, we email you sign-in details and ask you to set your own password. You can update your profile in the app, or ask us to correct or delete your account at any time (see section 9).
4. Notifications
With your consent we send operational messages about your rides via email, SMS and push notifications. You can opt out at any time: reply STOP to SMS (or ask us), turn off notifications in your device/browser settings, or contact us to stop email updates. Note that some messages (such as a booking confirmation) are essential to providing the service you requested.
5. Cookies, analytics & advertising
We use cookies and similar technologies, including:
- Essential storage — to keep you signed in and remember your light/dark theme and preferences on your device.
- Google Analytics — to understand site usage (IP anonymisation is enabled).
- Google Ads — to measure conversions and the effectiveness of our advertising. Google may set cookies to attribute a booking request to an ad.
You can control or delete cookies through your browser settings, opt out of Google’s advertising personalisation at adssettings.google.com, and opt out of Google Analytics with the browser add-on.
6. How we share your information
We share information only as needed to run the Services, and never sell your personal information. Our providers include:
- Google / Firebase — authentication, database (Firestore) for storing booking, account and message data, Cloud Messaging for push notifications, and Analytics/Ads.
- Google Maps Platform — maps, address autocomplete and route/ETA calculation. Addresses and coordinates you enter or share may be sent to Google to find locations and routes.
- OpenStreetMap, Nominatim, OSRM and CARTO — used as an alternative for maps, geocoding and routing; address text and coordinates may be sent to these providers to display maps and find locations.
- Email delivery provider (e.g. Resend) — to send booking and trip notification emails.
- SMS provider (e.g. Twilio) — to send SMS trip updates, where enabled.
- Vercel — website and application hosting.
- Your driver and our operations/dispatch team — to fulfil and manage your ride.
- Partner hotels — for a hotel-arranged booking, limited booking details are shared with the booking hotel.
We may also disclose information where required by law, to protect the safety of drivers, riders or the public, or in connection with a sale or restructure of our business.
7. Overseas disclosure
Some of our providers store or process data on servers outside Australia (for example in the United States or other countries). Where information is handled overseas, we take reasonable steps to ensure it is protected in a manner consistent with the APPs.
8. Payments
We do not collect or store your card or bank details through the website or app. Payment is arranged directly with our operator or driver (for example by card in-vehicle, EFTPOS, bank transfer, or corporate invoicing). Any card payment is handled by the relevant payment provider under their own terms and privacy policy.
9. Your rights & deleting your account
You may request access to, or correction of, the personal information we hold about you, and ask us to delete your account and associated personal information where we are not required by law to keep it. To do so, email wachauffeur@gmail.com from the address on your account, or call 0449 994 390. We will verify your identity and respond within a reasonable time. Note we may need to retain limited records (such as completed-trip and tax records) for as long as the law requires.
10. Mobile app permissions
Our mobile app may ask for the following device permissions, each of which you can grant or deny (and later change in your device settings):
- Location — to set your pickup, and (for drivers) to share live location while online or on a trip.
- Notifications — to send ride updates.
- Camera / files — only if you choose to upload a file within the app.
11. Data retention
We keep booking, account, message and trip records for as long as needed to provide the Services, meet legal, tax and safety obligations, and resolve disputes. Live location pings are short-lived and are not retained as a long-term history beyond what is needed to operate a trip. When information is no longer required, we delete or de-identify it.
12. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls, and server-side security rules that limit what each user can access. No method of transmission or storage is completely secure, but we work to protect your data and to notify you and the regulator of any eligible data breach as required by law.
13. Children
Our Services are intended for adults. We do not knowingly collect personal information from children without the consent of a parent or guardian. If you believe a child has provided us information, contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. The “last updated” date above shows when it was last revised. Material changes will be posted on this page and, where appropriate, notified to you.
